I. Overview:
Planning and implementing general administrative activities to support departments/divisions to accomplish the common goals of the Group.
II. Responsibility:
1. Make payment of office expenses:
- Lease offices and rental apartments for Expats.
- Rental Company cars.
- Electricity, water, internet, telecommunications, …
- The costs of buying equipment, office tools, stationery, …
- Contracts on MIS
- Track office payments and make sure payments are always on time.
2. Performing clerical work, archiving, warehouse management and record keeping:
- Receiving and handing over documents from departments
- Classifying and storing Legal and administrative records of the Company
- Ensure safety, science, easy to find
3. Manage and monitor assets, office equipment and tools:
- Telephone, photocopier, printer, fax, scanner, projector…
- Plan, implement and supervise the periodic and unexpected maintenance, repairing to ensure good operation.
- Support to organize internal Company events:
- Assist in the organization of Company events when assigned
4. Manage and use of Company seals:
- Support in seal management and stamping as assigned by ADM Manager
- Make monthly seal usage report
- Purchase control process:
- Make purchase documents according to the purchasing control process
5. Manage office administrative expenses:
- Make reports on office expenses at the request of ADM Manager
- Coordinate with ADM Manager to manage office expenses to ensure that office expenses are used within the approved budget and saved.
6. Office cleaning management:
- Ensure the office is always neat and clean
- Assign works to the Tea ladies reasonably.
7. Implement employee welfare regimes:
Coordinate with the Receptionist to implement employee welfare regimes according to the Company's policy
Yêu Cầu Công Việc
- Bachelor's degree in Business Administration or relative field
- At least 1 year of experience in the same role
- Professional knowledge: Knowledge of administrative and secretarial procedures, processing software, records management, knowing how to build standard templates and formats
- Good understanding of office management procedures
- Time management skills, work planning;
- Ability to handle situations flexibly;
- Good communication and persuasion skills;
- Teamwork skills, know how to orient and promote the capacity of team to serve the common purpose of work.
