I. JOB DECRIPTIONS
1. Employee Records Management:
- Organize and categorize employee records according to the appropriate categories (personal records, contract records, insurance records, salary and bonus records, etc.)
- Create a list of existing records to ensure all records are properly and systematically stored.
- Arrange records by employee ID. Classify and store additional documents and new employee records
2. Employee Records Scanning:
- Scan all existing employee records
- Name the files according to the standardized format and save them in each employee's folder on the shared drive.
- Scan additional documents and new employee records as well
3. Complete Missing Employee Records:
- Compare the record checklist with actual files to identify missing documents
- Contact employees or relevant departments to collect and request the missing records
- Update the tracking list with the status of the completed additions.
4. Organize Terminated Employee Records:
- File all offboarding documents (Resignation Letter, Termination Decision, Handover Minutes, etc.) into the employee’s record
- Retrieve the records of resigned employees and transfer them to the Archive Storage
5. Input Data:
- Support entering employee information fields into the HRIS system according to the provided template
Verify and cross-check the data with original records to ensure accuracy
6. Support Team in storing related records:
- Classify, store, and scan Payroll, Social Insurance, Personal Income Tax, and Reporting records
7. Support in operations:
- Assist the team with printing, signing, and stamping.
- Support the team with the implementation process for employees to sign the Employment Contract and its Appendices
Yêu Cầu Công Việc
- Final-year students or recent graduates in Human Resource Management, Law, Business Administration, or related fields
- Previous experience or internships in HR or Law are an advantage
- Proficiency in Excel, Word
- Good communication and teamwork skills
- Proactive, eager to learn, and results-oriented
